Placing Residents on Notice
The Move-Out Board is based on the move-out checklist. The Move-Out Board provides an organized display of the tasks that you must accomplish when moving out a resident.
Placing Residents on Notice in Bulk
The Bulk Place on Notice tool allows you to notify multiple residents at once.
- In Entrata, go to Residents >> All Residents.
- In the left sidebar, hover over the tools icon and select Bulk Place On Notice to open the Bulk Place on Notice screen.
- In the Lease Search pop-up window, select each property you'd like to place residents on notice for by clicking Add, and then clicking on each desired property.
- In the Leases Expire Between fields, enter the desired date range for expiring leases.
If you'd like to send notices to residents with month-to-month leases as well, click the Include Month to Month Leases checkbox.
- If desired, select an option(s) from the Occupancy Type drop-down menu.
- If desired, select an option(s) from the Renewal Status drop-down menu.
The No Renewal option is selected by default in the Renewal Status drop-down. If you place a resident on notice that has an active renewal offer or lease, the renewal is cancelled.
- Click Search. A list of residents appears on the Bulk Place On Notice screen.
- Click the checkbox in-line with each resident you'd like to notify, and then click Perform Place On Notice.
You can also click the checkbox in-line with Perform Place on Notice to select all the residents listed on the screen.
- In the new window, fill out all applicable fields.
The fields in this section should apply to all selected residents and their respective units. If the information for any of the selected residents is different, click Go Back and uncheck the box for that resident before continuing.
- Click Continue.
- On the left side of the new screen, select a resident's name.
If you need to place only the selected resident on notice, instead of including them in the bulk place on notice, click Place Resident On Notice in the top-right corner of the window.
- Verify the selected resident's information, making changes as needed.
- If desired, toggle Enter Refund Details Now? to Yes and select the desired Refund Dispersion option from the drop-down menu.
Depending on which type of Refund Dispersion you select, you may have to complete additional steps.
- If entering refund details, fill out the fields in the Forwarding Address section. Otherwise, proceed to step 15.
- Repeat steps 11–14 for each resident, then click Bulk Place on Notice to place all residents in the list on notice.
Placing a Resident on Notice
You can place a resident on notice within Entrata if that resident is moving out. You can schedule a move-out date and begin making the unit ready for future residents.
- In Entrata, go to Residents >> All Residents.
- Search for and click the name of the resident you would like to place on notice.
- In the Resident Profile, click the More Actions drop-down menu and select Place On Notice.
- In the Place On Notice screen, select the Move-out Type as either Eviction, Skip, or Regular. The system defaults as Regular.
Filling in Required Fields
Depending on which move-out type you select, you have a few required fields to fill out.
Eviction
Select an Eviction Reason from the drop-down list.
Enter or select the Eviction Start Date.
Enter or select the Estimated Eviction Date.
Enter or select the Unit Availability Date.
Skip
Enter or select the Move-out Date.
Select a Skip Reason from the drop-down list.
Enter or select the Unit Availability Date.
Regular
Enter or select the Notice Date.
Enter or select the Move-out Date.
Select a Move-out Reason from the drop-down list.
Enter or select the Unit Availability Date.
- In the Refund Details section, you may have an option to Enter Refund Details Now. If desired, toggle this to Yes, select a Refund Dispersion method from the drop-down, and enter a Forwarding Address.
If the resident has a future lease already set up, the lease displays in the Future Lease section. Update the Returning drop-down accordingly.
- Review all final charges and credits.
- If the unit had any Add On Reservations, you need to enter or select an Available On date in-line with the add on.
- Click Submit. If the notice went through without any problems, you see a confirmation indicating that the move-out was scheduled successfully and the resident's status changes to Notice.
If the notice is cancelled, then Entrata automatically reverses any charges that were billed when the resident's status changed to Notice.
