Entrata Core
Quick Search Updates
The Quick Search has been updated with a whole new UI, which will display:
-
More results in the initial search view
-
The Status options have been moved to the upper left corner, and the system will save the user's preference when changed from the default view of both Inactive and Active - i.e. if the user changes it to look only for Inactive results, then their following searches will also be for only Inactive and will remain that way until the user changes the status options again or logs out.
-
The "What Is" options drop-down has been moved to the upper right corner
-
If a user enters a single character search (alpha or numeric), the system will auto-default the option to Building/Unit.
-
With that default option, the following message will also display:
-
"We've selected a bldg/unit for you. Click the dropdown to change or add additional search criteria."
-
A blue Dismiss hyperlink will display along with this message.
-
If the user clicks Dismiss, the message will not display again. If the user chooses not to click Dismiss, the message will appear for three single-character searches and then not show again.
-
-
At the bottom of the search results view when in the All tab, functionality will allow a user to navigate directly to the Lead, Applicant, Resident, or Tenant tab in Entrata for Inactive results that are older than 24 months. Any search criteria that was entered will also pull into the respective fields in the corresponding Entrata tab.
-
If a user moves from the All tab to either the Leads, Applicants, Residents, or Tenants tab, they will be able to navigate to the corresponding individual Entrata tab - i.e. the Applicants tab in the quick search will only have a link to the Applicant tab in Entrata, the Leads tab will only have a link to the Leads tab in Entrata, etc.
-
The Need Help hyperlink has been moved to the bottom right corner of the search results view. Clicking this will take the user to the help documentation and video tutorial.
-
Additionally, an icon that provides the option to expand the size of the search results window has been added to the bottom left of the window.

Due Date and Post Date Now Supported in Transactions
In Entrata, we now separate Due Date from Post Date. This change allows you to adjust a Due Date without changing the Post Date if both dates need to be different. Specifically, Post Date is defined as the date the charge is recognized on the ledger while Due Date is the date after which the charge officially becomes delinquent. This allows you to post a charge but provide a grace period to pay the charge before it becomes delinquent.
For existing transactions, all post dates have been moved to the Due Date field. For new transactions, the due date and post date will be the same unless you specify otherwise.

Recurring Charges Workflow Updated
The Entrata interface for viewing and editing recurring charges within the resident profile has been updated to more clearly show mid-lease rent increases. Specifically:
-
Rent increases are now grouped together so that leases with multiple increases are more easily identifiable.
-
Each contract within the resident profile now has its own tab on the left side of the Recurring Charges section. For example, if a resident moved in five years ago and has renewed four times, there will be five tabs—one for each contract.
Residents >> All Residents >> [select a resident] >> Financial >> Recurring Charges and Credits
Additional information:
-
This new look and feel is only viewable for leases that have had either a mid-lease or month-to-month rent increase (which are scheduled from Dashboard >> Residents >> Rent Increases). It will be expanded to all users in the future.
Edit Transaction Due Dates in Bulk
In Entrata Core, you can now bulk edit the due date of charges. This option can help you save time when you need to make updates to more than a single charge at a time.
Feature/Tool:
Residents >> Charges >> Tools >> Bulk Update Due Date
Permission:
Setup >> Users & Groups >> [select User or Group] >> Permissions >> Residents >> Charges >> Bulk Update Due Date
Additional Information:
-
In an earlier release, we added the ability to have separate post dates and due dates. To learn more about that release, see the Entrata Core Release Notes for Jan. 17.
-
Prior to the Jan. 17 release, the existing permission for Edit Charge Dates covered just Post Date. This permission now covers both Post Date and Due Date. You can find this permission by going to Setup >> Users & Groups >> [select User or Group] >> Permissions >> Residents >> All Residents >> Financial >> [under the View Ledger permissions] >> Edit Charge Dates.
