Filling Out the New Entrata Guest Card

You can fill out guest cards in Entrata for leads who visit the main office, or for those who call in requesting information.
 

Filling Out the New Entrata Guest Card


  1. In Entrata, go to Leads >> All Leads.
     

  2. Hover over the add icon in the left-hand sidebar and click Add Lead to open the Add Lead window.

    • You can also open this window by going to Dashboard >> My Dashboard and clicking Create Lead in the quick links section. This opens the Create Lead window.
       

  3. In the top-right corner of the Add Lead (or Create Lead) window, toggle New Guest Card to On to show the new guest card interface. This toggle is set to Off by default.
     

  4. Select a property from the drop-down in the top-left corner of the window (if you have multiple assigned to you).
     

 

  1. Select a Move-in date range.
     

  2. Select an amount from the Bed and Bath drop-downs.
     

  3. Enter a dollar amount in the Price max field.
     

    • By default, your search results include units that are priced $100 over the set price max. To adjust this amount, click the $100 hyperlink and select a new dollar amount from the drop-down menu that appears.

 

  1. Click Search to see all available units that fit your filter selections.

 

  1. In-line with a given unit, you can find a list of all available lease terms (6 months, 12 months, etc.) and their rent rates. Alternatively, click on the pricing matrix icon to open the Pricing Grid window, where you can view the rent rates for all lease terms available for that unit.

 

 

  • If a unit has three or less lease terms available, the lease terms are listed in-line with the unit. If a unit has more than three lease terms available, the pricing matrix icon appears instead.
     

  1. In-line with the unit(s) that best match the lead's preferences, click Preferred Unit.

    • Click Deselect to remove the preferred unit.

 

  1. On the right side of the window under Lead Information, fill out the First Name, Last Name, Email, and Phone fields.

    • Click Phone to add a secondary phone number.

    • If a lead with the same name, phone number, or email already exists in your system, a yellow notification titled Possible Duplicates appears below the Email field. Click View Details in-line with an instance to review the duplicate information and merge the leads if necessary.

  2. Select an Originating Lead Source, Method Of Contact, and Result Of Contact.
     

  3. Add any other important details about the lead in the Notes field.
     

  4. When you're finished, click either Save Lead or Save Lead and Schedule Tour.
