Filling Out a Guest Card

You can fill out guest cards in Entrata for leads who visit the main office, or for those who call in requesting information. This article shows you how to fill out the old version of the Entrata guest card. For help filling out the new version, see Filling Out the New Entrata Guest Card.
 

Filling Out a Guest Card


  1. In Entrata, go to Leads >> All Leads.
     

  2. Hover over the add icon in the left-hand sidebar and click Add Lead to open the Add Lead window.

    • You can also open this window by going to Dashboard >> My Dashboard and clicking Create Lead in the quick links section. This opens the Create Lead window.
       

  3. In the Add Lead window (or Create Lead window, if you navigated here from your quick links), select a Property.

 

  1. Fill out all required and applicable Guest Information fields, including:

    • First Name

    • Last Name

    • Primary Phone

    • Email

 

  • If a lead with the same name, phone number, or email already exists in your system, a yellow notification titled Possible Duplicates appears below the Email field. Click View Details in-line with an instance to review the duplicate information and merge the leads if necessary.

  1. In the Communication Settings section, designate the lead's email and text opt-in preferences.

    • Remember to select the checkbox next to This lead has agreed to receive communications as specified above at the bottom of the section.
       

  2. In the Unit Preferences section, designate the lead's unit preferences including the number of beds and baths and their desired floorplan, lease length, amenities, and rent range.

    • Click View Pricing and Availability to open the Select Preferred Unit window, where you can select the unit that best matches the lead's preferences (whether it's available or not).
       

  3. In the Lead Details section, fill out as many fields as you can, such as the lead's application and occupation type, their originating lead source, and when they want to move in, among others.
     

  4. In the Personal Information section, click Add Current Address and fill out all required fields.
     

  5. In the Additional Occupants Information section, click Add an Occupant to add another occupant to this guest card, and fill out all required fields for the new occupant.
     

  6. When finished, click either Save Lead, Start Application, or Save Lead & Generate Quotes at the bottom of the window. Select from one of the following options:

    • Save Lead: Select this option to create and open a Lead Profile for the new lead.

    • Start Application: Select this option to create a lead, open their Lead Profile, and change their status to Application: Started.

    • Save Lead & Generate Quotes: Select this option to create a Lead open the Generate Quote window, where you can immediately begin generating a quote.
