Scheduling an Appointment with a Lead

You can schedule an appointment with a lead through the Lead Profile, and record the result of the appointment once it's passed. If the Appointment Scheduled contact point is set up, an email is sent to a lead each time you schedule an appointment. Once scheduled, an appointment remains on the calendar unless you remove it.
 

You can remove scheduled appointments by selecting an appointment in the Schedule Appointment window and clicking the Remove button in the appointment details pop-up.

 

You can access the Entrata calendar often to remind yourself of upcoming appointments.

Scheduling an Appointment


  1. In Entrata, go to Leads >> All Leads.
     

  2. Click on the name of the lead to open the Lead Profile.
     

  3. At the top of the Lead Profile, click Calendar Blank.pngAppointment to open the Schedule Appointment window.
     

  4. On the Schedule Appointment window, click and drag your cursor on the desired date and time to create an event to open the appointment details pop-up.

    • The grayed out area on the calendar represents time outside of appointment hours. If you try to schedule an appointment outside of designated hours, you may receive an error.


 

  1. In the pop-up, select a Lead Name from the drop-down.

    • If there is only one applicant, this field defaults to the name of the lead whose profile you're in.
       

  2. Click the Event Type drop-down to specify whether you're scheduling a Leasing Appointment, a Tour, a Self-Guided Tour, or a Virtual Tour.

  3. Date and Time fields autofill according to the space you highlighted on the calendar. If you'd like a more specific time, you can enter a new time in the Time field.
     

  4. Click Add to add the appointment to the calendar. You can also view the appointment in the lead's Activity Log in their Lead Profile. 


 

Recording the Result of an Appointment


When the appointment is over, record the result in Entrata so the appointment's result shows up in the Activity Log tab of the Lead Profile.

Before you begin:

Make sure the appointment has already passed.
 

  1. In Entrata, go to Leads >> All Leads.
     

  2. Click on the name of the lead to open the Lead Profile.
     

  3. At the top of the Lead Profile, click Appointment to open the Schedule Appointment window.
     

  4. Click on a past appointment to open the appointment details pop-up.
     

  5. Click the Update result link in the pop-up.

 

  1. In the Leasing Appointment window that opens, enter any Notes regarding the appointment.
     

  2. If the appointment occurred at a different time than what was scheduled, edit the Date or Time fields.
     

  3. Fill out all remaining fields.
     

  4. Click Submit to record the result of the appointment.
