The Lead Profile is where you can find the most important lead details, and complete actions that move applicants along the lead-to-lease process. The tabs that appear in the Lead Profile depend on the status of the lead. Until an application is started, only the Lead Summary, Documents, and Activity Log tabs are available.
To access the Lead Profile, click the name of a lead found on the Dashboard. You can also find leads by going to Leads >> All Leads.
Lead Summary Tab
The Lead Summary tab helps you keep track of each stage of the lead-to-lease process. There are 2 major sections in this tab: the lead progress bar, and the Application Details section.
The lead progress bar is often broken up into four steps: Guest Card, Application, Screening, and Lease. Screening and leasing preferences will change how the lead progress bar appears. Information and available actions are updated as you complete each step.
The Application Details section appears beneath the lead progress bar. The actions available here depend on the status of the lead. For example, after a lead starts an application, you can Add Applicant, Edit Application, or Generate Quote.
Once the lead starts an application, you can track their progress here.
Steps Found on the Lead Progress Bar

Guest Card: During the guest card step, you are given the option to send the lead an invitation to apply or to start the application. You can also generate a quote for the lead.

Application: During the application step, you can send the lead an invitation to apply, print the application, manage applicants and applicant details, edit the application, and generate a quote.

Screening: During the screening step, you can process a screening of the applicants and approve the application. The screening step may or may not appear depending on your company and property settings.

Lease: During the lease step, you can generate (or upload) and approve a lease.
Financial Tab
The Financial tab only appears after a lead starts an application. Here, you can view a lead's ledger and scheduled charges, and add other charges, payments, and credits.
Options Tab
The Options tab shows the rentable options and specials you can add to an offer or lease agreement (e.g. storage unit, carport, etc.).
Documents Tab
The Documents tab houses digital copies of the lead's application and lease when they are generated within Entrata, which you can then download or send in an email. You can also upload documents by clicking Add Document.
If you have the right permissions, you can download any document by clicking on its name.
Activity Log Tab
This tab shows your history of contact with the lead, including changes in application or lease status, and emails sent from the property. Click Add Activity to add custom notes and communication points to the lead profile, such as calls, emails, and onsite visits.
Email, Appointment, and Schedule Manual Contact Buttons
The following buttons can help you stay in contact with your leads:

Email: This button appears once a valid email address is entered for the lead. Click here to compose and send an email. For help composing emails in Entrata, see Creating a New Email.

Appointment: Clicking this button schedules an appointment with a lead during your property's office hours. Alternatively, you may see a Schedule drop-down that then lets you select either Appointment or Manual Contact.

Schedule Manual Contact: Clicking this button allows you to schedule a reminder to contact the lead. This reminder appears on the Dashboard under My Dashboard >> Leads >> Contact Needed.
Status Overview
Clicking the Status Overview link opens a window that explains what each lead status means. The lead's current status is highlighted in green.
More Actions Drop-Down
The More Actions drop-down, located in the top-right corner of the Lead Profile, is a dynamic menu where options become available depending on the lead's status.
Important Information Section
The Important Information section is on the right side of the Lead Profile. In this section, you can find and edit a lead's phone number, email, assigned leasing agent, lead source, and more.
Communication Opt-In Section
This section shows the lead's opt-in status for various text and email services.
Preferences Section
The Preferences section displays the lead's unit preferences until a unit is chosen. After the lead is assigned a unit, this section becomes the Unit Information section, where you can change the unit, move-in date, lease start date, lease end date, and lease length.
Add Activity Section
Clicking on the note Note drop-down adds lead activity to the Lead Profile. You can also add notes by clicking in the Add Note textbox. All lead notes and activity show up in the Activity Log tab.
