This article explains what you need to know in order to effectively use the Leads tab on the Dashboard. The leads tab is located Dashboard >> My Dashboard >> Leads.

 

Attempted Contact vs. Successful Contact


It's important to understand the difference between attempted and successful contact. Sometimes, only successful contact can remove items from the Dashboard.

 

Types of Successful Contact

  • Incoming email

  • Onsite visit

  • Tour

  • Outgoing call that lead answers

 

Types of Attempted Contact

  • Outgoing call (no response)

  • Outgoing call (voicemail reached only)

  • Outgoing email

  • Text sent


 

The Not Progressing Filter


If the Not Progressing subtab feels cluttered with old leads that have not progressed for a long time, you can hide these leads with the Not Progressing filter.

 

For example, let's say you only want to see leads two weeks old or newer. Go to Dashboard >> My Dashboard >> Leads >> Not Progressing, and locate the text field above the Property column. Enter the number "14" into the text field and any leads older than 14 days are filtered out.

 


 

Lead Subtabs on the Dashboard


In this section:

  • The Assign Agents Subtab

  • The Tours Subtab

  • The Potential Leads Subtab

  • The Never Contacted Subtab

  • The Contact Needed Subtab

  • The Not Progressing Subtab

  • The Marketing Errors Subtab
     

Under Dashboard >> My Dashboard >> Leads, you'll find up to five lead subtabs, depending on your permissions settings: Potential Leads, Contact Needed, Not Progressing, Assign Agent, and Never Contacted.

 

The Assign Agents Subtab

This subtab displays all leads who have not yet been assigned a leasing agent. To remove a lead from this subtab, click Assign in the right-most column and assign them to a leasing agent.

 

The Tours Subtab

From this subtab, you can assign units to leads who have scheduled self-guided tours, and check leads in and out of tours.
 

The Potential Leads Subtab

This subtab contains unknown answered calls, unknown emails, and resident referrals.

 

To remove leads from this subtab, click Review in the What's Next column. This opens the Review Unknown Lead window, in which you can assign an action to the call, email, or referral. Selecting an action removes the lead from this subtab. You can also remove leads from this subtab by dismissing or archiving them, either individually or in bulk.

 

 

The Never Contacted Subtab

This subtab lists all leads who have not yet been contacted by the property. To remove a lead from this subtab, click Contact in the What's Next column and select a contact method from the drop-down list. This list includes texts, calls, emails, or onsite visits.


 

The Contact Needed Subtab

The Contact Needed subtab is your daily to-do list. Within the subtab, you'll see a list of all the leads who need to be contacted.
 

Every lead in the Contact Needed subtab has triggered a contact point set up in the property settings. In other words, they have just progressed or interacted with the property in some way.

 

Important Column Information

The Due column tells you when contact is due.

The Reason for Contact column shows which contact points were last triggered.

The Last Contact column shows the last time successful contact was made.

 

Remove Leads from This Subtab

Any action you take, whether it's attempted or successful contact, removes leads from this subtab.

 

The Not Progressing Subtab

This subtab is a safety net that helps prevent inactive leads from falling through the cracks.

 

Important Column Information

 

  • The Last Progression column shows the last status change and the number of days that have passed since that change.

  • The Last Contact column shows the last time successful contact was made. The icon indicates what type of contact was made (email, phone call, etc.)

  • The Last Attempt column shows the last time contact was attempted. The icon indicates what type of contact was made (email, phone call, etc.)

 

Remove Leads from This Subtab

Leads are removed from this subtab when:

 

  • successful contact is made (unsuccessful or attempted contact will not remove leads).

  • the lead progresses (their status changes).

  • an agent manually cancels or archives the lead from anywhere in the system.

  • the cancel/archive threshold determined under the No Progression Action settings is reached.
