Performing a Bulk Roommate Shuffle

 

The Bulk Roommate Shuffle Tool allows you to move residents from one unit to another without modifying the lease. The system completes a portion of the usual transfer process to open a new ledger for the new unit.

 

You can't complete a roommate shuffle in the following circumstances:

  • The resident has received a renewal offer or there is a transfer associated with the lease.
  • The resident is not in Current status.
  • The resident wants to change to a different floor plan.

 

If you need to change a resident's scheduled charges or any details—such as the unit type, space option, or lease dates—in the lease documents, Entrata recommends transferring the resident instead.

 

  1. In Entrata, go to Residents >> All Residents.
     
  2. In the left sidebar, hover over the tools icon  and select Bulk Roommate Shuffle.

     
  3. In the Bulk Roommate Shuffle window, select a Property from the drop-down menu.
     
  4. In the How many additional residents do you want to add to the shuffle list field, enter the number of residents you'd like to transfer to new unit spaces, then click   Add Row(s).
    • You can click   Add Row(s) again at any time to add an individual row.
       
  5. In the   Search Residents field, enter the name of a resident, and then select their name from the list that appears. Unit space information appears in the Current Unit Space and Current Space Option columns.
     
  6. Select the resident's New Unit Space from the drop-down menu.
    • If you're shuffling residents in occupied units, the units aren't available in the New Unit Space drop-down menu until you select the resident name in the Search Residents field.
       
  7. In the pop-up window that appears, click the unit space to assign the resident to the space, then click Submit.
    • You can click the matrix icon next to the New Unit Space drop-down to open the pop-up window.

       
  8. Complete steps 5–7 for each resident, and then click Save Changes to transfer the residents to their new unit spaces.
